Purpose: Maintain accurate records of all club meetings
Responsibilities
- Initiate and maintain communication with Corresponding Secretary and Helping Hands
- Accurately record the minutes from all board meeting and other meetings as directed by the President, Area Manager
- Email a copy of the board meeting minutes to the President within a week for review, make corrections as needed and, upon approval from President
- One week before board meeting, email copy of minutes to each member of the Leadership Team (via Database Coordinator)
- Minutes need to be approved at board meeting
- Maintain a copy of the approved minutes from Leadership Team meetings and any other meetings as directed by President, Area Manager and/or Advisors
- Place a hard copy of the approved minutes in the Secretary's notebook and have available at each meeting.
- Email a copy of the approved minutes to President and National Headquarters monthly.
- Email information is provided in the position handbook.
- Notify President if unable to attend monthly board meeting. Coordinate with President and Corresponding Secretary to ensure minutes will be take appropriately
- Ensure the minutes format and attendance roaster is approved by the President at the beginning of each term
